Looking for a Volunteer Scheduling App for Your Club? Clubhand Questions Answered

What it costs, where the data lives, whether helpers need the app and how it fits next to ClubDesk or Webling.

When a club looks for a tool to organise its volunteers, the same questions come up every time. Here are honest answers for Clubhand, the shift and event app for clubs, so you can decide quickly whether it fits.

What is Clubhand?

Clubhand is an app for clubs and associations to plan events, organise volunteer shifts, register participants and communicate with members. It runs on iPhone and Android; outside helpers use it in the browser. It was built in Switzerland, starting with gymnastics clubs, and suits any volunteer-run club: music, sports, youth, village festivals, school parents' associations.

Who is it for?

For club committees and event organizers who today plan helpers in a spreadsheet, a group chat or a paper list on the gym wall — and for the members who want to see at a glance where they're needed.

What can I do with it?

Do all helpers have to install the app?

No. Members are best off with the app, because they get push notifications, reminders and their shifts in the calendar. Outside helpers — parents, friends, other clubs — sign up in the browser via the event link or QR poster, without an account. They get a confirmation e-mail with a cancel link and a reminder before the shift.

What does it cost?

The club pays; members and helpers never do.

Prices in CHF without VAT. Payment by card via Stripe (the event pass also with TWINT), or by invoice on request. Cancel any time to the end of the paid year. See clubhand.ch/pricing.

Do outside helpers count as members?

No. Outside helpers and guests of an event don't count towards the member limit. A club on the Free plan can have as many outside helpers as it needs.

Does Clubhand replace ClubDesk or Webling?

No, and it doesn't try to. Membership administration, fees and accounting stay in your existing tool. Clubhand covers events, shifts, helpers and the communication around them. You import your member list once as a CSV file — from ClubDesk, Webling or Excel.

Where is our data stored?

On servers in Zurich, Switzerland (Supabase, Swiss region). There are no ads, no tracking and no selling of data. The club stays in control of its data, and Clubhand processes it on the club's behalf under a data processing agreement (clubhand.ch/avv).

Who sees what?

Members see names on shifts. Only admins see e-mail addresses. Outside helpers see which places are still open, but no names.

Which roles are there?

Four: owner, admin, organizer and member. Organizers plan events and shifts, members sign up — so the committee can share the work without giving everyone full access.

Can I try it before committing?

Yes. In the app, tap Try without an account and click through a sample club; nothing of it is public. If you like it, create an account and the sample club stays — rename it or delete it.

How do members join?

With a join code, a link or a QR code. You can also import the member list as CSV and send an invitation e-mail to everyone who doesn't have the app yet; when they sign up with the same address, they're in the club automatically.

What happens if we stop paying?

Nothing is deleted. After the paid year ends, the plan stays active for 14 more days, then the club continues on the Free plan. Events, shifts, members and statistics remain visible. If you're above the Free limits, no new members can join and no further events can be published until there's room again.

What's coming next?

Planned for Club Plus: club logo and colours, and an export for J+S (the Swiss youth sports programme).
